The FBI apostille, explained in two minutes
Your FBI background check is a federal document. The FBI calls it an Identity History Summary, and only the US Department of State can apostille it.
That trips up a lot of people. A state Secretary of State will send an FBI report back unapostilled, and a notarized copy of one is worthless for this. What works is the report exactly as the FBI issued it, signed by an FBI division official, sent to the State Department’s Office of Authentications.

First you need the report itself. You can request it straight from the FBI or through one of the 12 FBI-approved channelers. Both produce a report the State Department will apostille, so the choice comes down to speed and your citizenship status.

Most countries also care how old the report is. Spain, for example, generally wants it issued within the last three months, so we plan the order backward from your consulate appointment.

Questions we answer every day
What is an apostille?
An apostille is a certificate that confirms the signature and seal on a public document are genuine, so another country that belongs to the 1961 Hague Apostille Convention will accept it. It is attached to your document. It does not translate the document or change what it says.
Who apostilles an FBI background check?
Only the US Department of State’s Office of Authentications. An FBI report is a federal document, so a state Secretary of State cannot apostille it, and a notarized copy won’t be accepted. We file your report with the State Department and send it back to you.
How much does an apostille cost with you?
State apostilles are $149.95 (2 to 3 weeks) or $199.95 express (1 to 2 weeks). Federal apostilles, including FBI reports, are $199.95 regular or $385.95 rush. Government fees are included in every price. See full pricing.
How long does an apostille take?
The State Department says it processes mailed requests within 5 weeks, so plan on 5 to 8 weeks door to door for our federal regular tier, or 3 to 4 weeks with rush courier filing. State apostilles take 1 to 3 weeks depending on the state and tier.
Can I get an apostille the same day?
For some state documents, yes. The Massachusetts counter in Boston finishes up to three documents while you wait. Federal documents are different: the State Department’s walk-in window takes 7 business days, and same-day service is only offered for life-or-death family emergencies abroad.
Do I send the original document?
Yes. The apostille goes on the original or on a certified copy issued by the agency that holds the record. Photocopies, laminated certificates and notarized copies of government records are rejected. Never photocopy a naturalization certificate; that is illegal under federal law.
Can you apostille a document from another state?
Yes. A Texas birth certificate still goes to the Texas Secretary of State, and we file it there for you by mail. If your file mixes records from several states, we run the submissions in parallel under one order.
Do you work with clients outside Massachusetts?
Yes. Most of our clients mail their documents from other states or from abroad, and many have their FBI channeler ship the report straight to our office. If you are near Tewksbury, you can walk in Monday to Friday, 10 a.m. to 5 p.m.
My country isn’t in the Hague Convention. What now?
Countries such as the UAE, Qatar and Egypt don’t accept apostilles. Your document is authenticated in the US first, then legalized by that country’s embassy. We run both steps under one order. How embassy legalization works.
Do Saudi Arabia, China or Canada still need legalization?
No. Saudi Arabia joined the Hague Apostille Convention in December 2022, China in November 2023 and Canada in January 2024, so an apostille alone is enough for all three. If an older checklist says otherwise, ask the office requesting your document to confirm.
How recent does my FBI report need to be?
The apostille doesn’t expire, but many countries only accept an FBI report issued in the last three to six months. Spain generally wants it under three months old. Check your consulate’s checklist and order the report with that window in mind.
Is an apostille the same as a notarization?
No. A notary confirms who signed a document. An apostille confirms that the official who signed or sealed a public document, such as a notary or a registrar, really holds that office. Private documents like a power of attorney are notarized first, then apostilled by the state that commissioned the notary.
Can you translate the apostilled document?
Yes. We arrange certified or sworn translation in more than 30 languages. Translation happens after the apostille so the certificate itself is translated along with your document. It’s quoted separately. Translation services.
What is your refund policy?
Cancel any time before we submit your document for a full refund of our service fee. Once it is filed with the government, fees are non-refundable because the government does not refund its filing fees.
Are you a law firm?
No. We are a licensed notary and document authentication service. We don’t give legal or immigration advice. For questions about your visa, residency or citizenship case, talk to an attorney licensed where your case is filed.
Are you part of the FBI or the State Department?
No. We are a private company. The FBI issues your background check and the State Department issues the apostille. We prepare, file and track the paperwork between them so it is done right and on time.
